Streamlining our business with simPRO

 

Every now and then a software platform comes along that has the power to take your business to the next level. 

As a busy building services engineering company, our expert teams spend most of the time out and about on client sites. Keeping track of who is where, including all the different projects, jobs and incoming requests, is a mammoth task. 

It's a similar scenario for many companies with extensive field management teams based across different sites, servicing different clients. Implementing effective tools and processes to deal with the complexity is critical to the success of the organisation. 

Over recent years, as our business has expanded, we've recognised the need for a new system that can track all processes over our three core services: Compliance, Projects and Maintenance. 

Having approached several of our trusted partners for recommendations, one industry management tool rose to the fore – simPRO. A meeting with representatives from the software provider made it clear simPRO would be able to meet all our field service requirements.

Since the installation, we're more effectively able to deal with all operations, people, performance levels and compliance. simPRO Enterprise streamlines and logs all client communications and requests, to produce quotes and jobs that are tracked within the system so nothing is missed. The system's status log facility helps us compile useful data on areas such as turnaround times so we can monitor our own deliverables. The integrated mobile application, Connect, provides real-time visibility of our field services operations including engineer locations and work status. simPRO also offers an online client portal accessed via our website.

 

Other capabilities that our clients have found particularly useful include: 

  • simPRO IoT (Internet of Things) – the process of retrofitting IoT sensors to existing assets to use real-time data to improve service delivery, from increasing response times to reducing reactive maintenance.
  • eForms – this platform replicates our engineers' compliance service sheets so they can be completed and uploaded via a mobile phone while on site, for instant reporting.
  • Courtesy system survey – a proactive approach to maintenance and fault rectification.
  • Recording QHSE elements – such as vehicle check sheets, so all data is controlled and monitored in one place.

By aligning simPRO to our accounting software, Sage, we've also been able to reduce the time taken on administrative tasks and remove the chance of data input error so the information we act on is accurate and timely.
